HENRY COUNTY RC CLUB DECEMBER, 2013 BUSINESS MEETING MINUTES - Dec. 28, 2013

 
On a  cold Winter Saturday morning in late December, with a solid overcast dominating the Flying Field and significant rain in the forecast, the officers met in their monthly breakfast meeting at 7:30 and then, at 10:00, the following members attended the December business meeting on the heels of the Christmas Holidays: President ~ Vic Echevarria, Vice-President ~ Ron Hargrove, Sec. ~ J.R. Murphy, Joe Ryan, Curtis Miller,  David Mitchell,  and Jim Brooks.  Some of the leadership and regular attenders were still out of town for the end of the year holidays and, therefore, unable to attend.   
1)  Vic called the meeting to order as his final official duty as 2013 president and the financial forms and control records to be used in 2014 were presented to attendees.  The fact that the funds carried over from this year in the form of $3,000.00 had been transferred to the savings account and it was explained that unless needed for some 2014 budget expenditure, these funds will be maintained as such.  These forms also display budget year-to-date expenditures and the current checking account balance and are available at the monthly business meeting for members to observe.  
2)  The current 2014 membership sheet was presented showing 43 members have renewed their membership for the new year.  It was pointed out that the income developed from these renewed memberships is also displayed on this sheet and can be used to show the 2014 funds then available to the budget control system.         
3) Officers now have the  HCRCC level 1, 2 & 3 stickers for 2014 and it was pointed out that each officer issuing these stickers need to validate the member has in his/her possession a 2014 AMA card and then make certain that the member is being issued the proper level sticker.  It was pointed out that this is not always an easy task but officers were urged to try to make certain that qualifying 2014 stickers are only issued to current members with demonstrated flying skills as stipulated in the Club’s by-laws.   
4)  It was agreed to give to all 2014 club members a special field rule instruction sheet explaining the need to make certain that every member is well aware of the “Baseball Game Day” flight pattern and that the member possesses the required skills to operate each of their aircraft within those boundaries.        
5)  Vic reminded attendees that the gate combination would be changed on1/1/2014 and JRM stated that he is currently mailing the new lock combination to members who have renewed their membership for the new year.    
6)  Attendees were reminded that the club is responsible to be aware of and observe the flight restrictions in place when a NOTAM is issued for a VIP who will be arriving/departing the Atlanta control area.  It was agreed that upon receipt of such notification, a copy of the NOTAM’s information would be placed on the website and emailed to all members.  There is also in place a second lock system for the main gate that would support the effective NOTAM flight restriction hours.  
In spite of the definite winter chill in the air, a number of attendees could not let the opportunity to fly slip by without at least a brief term in the pilot’s flight positions.  There did not, however, appear to be any congestion around the starting tables of pilots awaiting their turn to fly.
